Frequently asked questions
What schools, teachers and parents ask us before a trip. If your question isn't here, talk to us — we answer quickly.
For schools
Each visit has a purpose agreed with teachers in advance. Depending on the institution, it might be a guided tour, a session with a practitioner or faculty member, or a workshop.
We build relationships with universities, firms and institutions, and request sessions before the trip. Access is confirmed in writing before we name it on a trip page.
We agree the learning objectives with your teachers first, then design each visit around what students are learning. Curriculum connections are made before, during and after the trip.
We recommend starting 6 to 9 months before departure. Demand for the strongest trips is high, and the lead time also depends on the access you would like us to request.
A school group needs at least 15 students. If numbers fall below that, we revise the quote before booking confirmations begin.
Our standard group is 19 students, so every student is visible and gets the most attention. Larger groups are welcome too, supported by the right ratio of guides.
Students can also register individually on our home page. Ask us which trips take individual places.
For parents
A professional guide is with the group from start to end, in every destination, working alongside the school's teachers. Guides are available 24 hours a day throughout the trip.
Safety is checked before a trip is released. All transport, accommodation and visits are audited to the requirements of our standards, and we make a reconnaissance visit ourselves.
Every group has an emergency plan in place before departure. While students are away, we offer a 24-hour helpline, and our staff follow clear guidelines to ensure a fast and efficient response to every call.
Every trip includes the study visits and expert-led sessions on its itinerary, whether at a factory, workshop, lab or firm, plus visa appointment support where a visa is required. Most also include expert guides, transfers, accommodation (usually with breakfast), a safety briefing and 24-hour guide support. Each trip page lists exactly what its price includes and what it doesn't.
Travel insurance is compulsory for the duration of travel. When a trip's price covers it, the trip page lists it under "What's included". Otherwise we confirm the cover students need before you book.
We guide you through the visa requirements and documents, and help book the appointment and submit the application where applicable, as the embassy or consulate advises. The decision is the embassy's, not ours: we are not an agent of any embassy or consulate and cannot guarantee that a visa is issued.
If a student cannot travel because of a visa, our cancellation charges apply. It is your responsibility to make sure each student has all the necessary travel and health documents before departure, and we cannot accept liability for any costs caused by incorrect passports or visas.
Students stay in reputable hotels or hostels. We work with hotels suited to every kind of group, from management teams to students, and can recommend accommodation that suits your group's needs and budget.
Bookings and payments
As we incur costs from the time we confirm your booking and may be unable to re-fill your place, the following cancellation charges are always payable. Where a charge is shown as a percentage, it is calculated on the total cost payable by the people cancelling, excluding amendment charges. These charges are payable whether or not you have already paid enough to us in deposits.
| Written notice received before departure | Charge per person cancelling |
|---|---|
| 70 days or more | All deposits due only |
| 22 to 69 days | 75% of total cost |
| 0 to 21 days | 100% of total cost |
Our prices are determined by the number of paying passengers, so they may increase if your numbers decrease, and cancellation charges may apply.
Please let us know as soon as possible, in writing, if this happens.
When flights are part of a trip, we book them in economy class, with no preference for a particular airline. Anyone who would like to travel in a different class pays the airline's upgrade surcharge.
